The Salvation Army, an internationally recognized non-profit, faith based organization, has a job opening for a Payroll Coordinator at North Texas Area Command, located in Dallas, TX.  

Work Location:

100% on-site at 8585 N. Stemmons Fwy., Dallas, TX 75247

Job Summary:

Prepares, processes, and verifies payroll records for all locations within North Texas Area Command; computes and disburses wages and salaries, deductions, taxes, and other withholdings; posts payroll data and prepares routine reports; calculates and processes special checks; reviews, edits and makes corrections and adjustments as needed; verifies attendance, hours worked, pay adjustments, and posts information to designated records.

Payroll Responsibilities (80%)

Prepares, processes and verifies paycards and Ceridian payroll records for all locations within North Texas Area Command; computes and disburses wages and salaries, deductions, taxes and other withholdings; posts payroll data and prepares routine reports to the Director of Finance; calculates and processes special checks; reviews, edits and makes corrections and adjustments as needed.

 

Reviewsnew hires, terminations, class changes, and salary increases in Ceridian against paperwork to ensure changes were accurately processed by HR; reviews and verifies all employee information forms for exempt and hourly employees submitted by the Corps to ensure accuracy and completeness; processes bi-weekly transfer of payroll data to Ceridian.

 

Processes and calculates all information received from the departments for manual payroll checks issues and/or adjustments needed. Processes off-cycle payrolls when needed.

 

Enforces, interprets and explains payroll policies and procedures and updates and maintains current Payroll SOP.

 

Aids and assists the Corps Officer with RKW timesheets, and processes Bell Ringer payroll.

 

Trains Corps office managers to review Time & Attendance and to add or delete mis-punches; polls time clock on computer as needed.

 

Answers inquiries from individuals concerning payroll data; resolves general problems of payroll processing; solves problems concerning payroll and answers inquiries.

 

Verifies attendance, hours worked, and pay adjustments; posts information to designated records; enforces Salvation Army policies with regards to paid time off.

 

Registers newly hired non-exempt employees at NTX AC to biometric timeclock and assists North Texas Area Command Corps with rebooting biometric timeclocks as needed.

 

Issues and records adjustments to pay related to previous errors or retroactive increases.

 

Calculate and process Prepare biweekly payroll reserve from all units; reconcile payroll reserve and prepare quarterly adjustments as needed.

Reconciles monthly medical insurance premiums with payroll deductions established. 

 

Reviews times sheets, work charts, wage computation, and other information to detect and reconcile payroll discrepancies.

 

Issues and records adjustments to pay related to previous errors or retroactive increases.

 

Monitors and updates time off requests for employees; notifies supervisors of upcoming unapproved absences.

 

Coordinates and provides training on Ceridian payroll software, Ceridian timesheets, and biometric timeclock for managers who perform payroll duties and new employees; processes requests for managers to review Ceridian timesheets and to add or delete mis punches.

 

 

Financial Responsibilities (15%)

Generates the GL Integration file and uploads all payroll journals into Sage for review by the accounting staff.

 

Reviews general ledger account allocations for compliance with location, position, and Government contract funding.

Balance payroll accounts by: auditing information, identifying and resolving discrepancies and initiating journal entries.

Prepares journal entries as requested by Director of Finance.

 

Administrative Responsibilities (5%)

Maintains an itemized inventory for payroll records that are stored and sent for archives; maintains payroll files according to the Salvation Army Records Retention Schedule.

 

Prints and files payroll reports which reflect all information entered for the pay period; downloads all year-to-date earnings figures for the employee's payroll; transfers, backs-up, and clears payroll files.

 

Prepares and coordinates reports and required documents for payroll and HR department audits to include, but not limited to grants, external audits by DHQ and THQ and internal management audits.

 

Records employee information, such as exemptions, transfers, and resignations to maintain and update payroll records.

 

Records and tracks employee Paid Time Off credit; prints up-to-date reports indicating the total number of hours available in each category for each employee and maintains the same in the payroll software.

 

Reviews times sheets, work charts, wage computation and other information to detect and reconcile payroll discrepancies including unauthorized and excessive overtime; prepares and submits overtime report to all managers responsible for e-time payroll data entry.

Knowledge of the practices and procedures of basic accounting, general business administration, and general office practices and procedures.  

 

Knowledge of the principles and practices of payroll administration.

 

Knowledge of IRS 1099 regulations, processes and deadlines

  

Skill in daily application of practical accounting and bookkeeping.

 

Skills in maintaining databases ensuring accuracy and completeness of data.

 

Skills to apply analytical and problem-solving methods and to interpret and understand financial documents.

 

Ability to build and maintain effective working relationships with Salvation Army officers and employees, and professionals in the community.

 

Ability to maintain confidentiality of financial records.

 

Ability to process financial documents in compliance with established policies and procedures.

 

Ability to prepare, process and maintain highly detailed standard and ad-hoc reports as well as develop various reconciliations in an accurate, complete, and timely manner.

 

Ability to perform routine and complex mathematical computations in an accurate manner.

 

Ability to present a positive and professional image of The Salvation Army.

 

Ability to follow both verbal and written instructions.

 

 

MINIMUM QUALIFICATIONS REQUIRED:

 

Education and Experience:

Associate degree from accredited college or university in Accounting, Business Administration or related field,

 

and

 

Four years experience preparing payroll records for a large number of employees

 

and

 

Working Knowledge of ADP or Ceridian Payroll Products (required), Sage Intacct Accounting Software (preferred)

 

or

 

any equivalent combination of training and experience, which provides the required knowledge, skills, and abilities.

 

 

 

Certifications:

Valid State Drivers License

 

 

Physical Requirements:

Ability to meet attendance requirements.

 

Ability to type and perform data entry.

 

Ability to perform mathematical calculations.

 

Ability to operate various general office equipment including a telephone, typewriter, computer, fax machine and adding machine.

 

Ability to concentrate and pay close attention to detail with constant breaks in concentration associated with answering phones, or speaking to persons requiring assistance.

 

Ability to read, write, and communicate in the English language.

 

Ability to communicate clearly both orally and in writing in an effective and professional manner including the providing of clear instructions to employees.

 

Ability to work under the pressure of deadlines and time constraints.

 

Ability to conduct all duties in accordance with the ministry of the organization and its Christian principles; conducts all communications and job duties with the highest level of professionalism.

 

Duties are usually performed seated.  Sitting may be relieved by brief or occasional periods of standing or walking.

 

Ability to travel when needed to accomplish assigned job duties.

 

Moderate amount of physical effort required associated with walking, standing, lifting and carrying moderately heavy objects (up to 40 lbs.) when handling file boxes.

 

Working Conditions:

Work may be performed in an office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like but not limited to the office environment with the exception of travel conditions.
