Description: The Managing Clerk supports litigation attorneys in the various practice groups by providing in-depth expertise regarding docketing, court rules, Federal and State procedures, and management of various calendars firm-wide. The Managing Clerk reviews all court filings and litigation documents, calculates associated deadlines, and dockets dates as appropriate using CourtAlert, the firm-wide docketing and calendaring system. The Managing Clerk also acts as a primary resource for inquiries regarding court procedures. This position requires a high level of motivation, flexibility and initiative. The successful candidate must exhibit a positive attitude and a willingness to help.


  • Daily coordination with lawyer services to obtain copies of court documents, provide service of process and filing of documents

  • Manage day-to-day operations of the firms’ Docketing Department, including supervision of, and assistance and training to, other members of the Department

  • Review court notifications, correspondence, and NY Law Journal, and extract relevant dates to be calculated, updated, and entered into CourtAlert

  • Answer questions from attorneys and staff regarding court calendaring, civil procedure, and individual judge’s rules in State and Federal cases

  • Travel to court(s) to file documents and attend hearings when necessary

  • Monitor, analyze, and document changes in court rules

  • Consult with attorneys and staff to ensure compliance with court rules and procedures, including Appellate and Bankruptcy proceedings

  • Accurately and efficiently serve and file all court-related documents, whether manual or electronic, with various State and Federal courts

  • Prepare and provide various calendar and case reports, as well as daily reminders of upcoming deadlines to attorneys and staff

  • Insure pleadings and court filings are in proper form and in compliance with court rules and protocols, including applicable fees

  • Record all litigation documents in CourtAlert and calculate procedural due dates

  • Responsible for knowledge of e-filing protocols for State and Federal courts, in addition to maintenance of passwords

  • Provide ancillary support for electronic filing in CM/ECF and other e-filing systems

  • Monitor case progress in assigned courts, obtain decisions, orders and other relevant documents; communicate case status to responsible attorney

  • Interact with all levels of court personnel

  • Report to and work with the firms’ Risk Management Committee


  • A minimum of 5 years of experience within a law firm in the Managing Attorney/Clerk's office required; prior experience as an Assistant Managing Clerk or Senior Docket Clerk preferred

  • Bachelor’s degree preferred

  • Proficiency in Microsoft Office applications

  • Experience utilizing MA3000, CourtAlert, or similar docketing and calendaring tools

  • Must exhibit well-developed interpersonal and client relation skills

  • Exceptional verbal and written communication skills

  • Excellent organizational, analytical, and planning skills

  • Must exhibit initiative and problem-solving skills

  • Extreme attention to detail and accuracy

  • Must be able to effectively multi-task, meet deadlines and excel in a team atmosphere

  • Working knowledge of FRCP and State court rules

  • Knowledge of various court websites, docket searching and document retrieval databases required (i.e., PACER, E-Track/E-Courts, S.C.R.O.L.L., NYCAL, Courtlink and Lexis/Nexis, etc.)

  • Willingness to work with company-wide team of experienced docketing staff to provide quality services

  • General expertise in best practices regarding docketing, calendaring, and record-keeping, as they relate to mitigating risk in the legal environment

  • Licensed Notary Public helpful

  • Military experience a plus
