Description: The Administrative Assistant will be responsible for administrative support to attorneys in a transactional finance practice involving secured loans, municipal bond issues, mortgages, and related matters. The Administrative Assistant will be expected to be thorough, detail oriented and responsible.

Responsibilities:

  • Provide administrative support to multiple attorneys

  • File maintenance including organization of transaction documents

  • Assist with the preparation of financing and real estate documents

  • Keep accurate and up-to-date transaction information, contacts and files

  • Document scanning, profiling and retrieval

  • Billing and various activities

  • Prepare closing transcripts

  • Perform other related duties as assigned or requested

Qualifications:

  • Associate’s Degree or equivalent experience required

  • Experience with Microsoft Office suite, particularly Word and Outlook, required

  • Must have excellent proofreading skills and problem solving skills

  • Demonstrated organizational skills for prioritizing workload

  • Demonstrated ability to absorb, understand and process new information rapidly

  • Maintains high standards of performance including confidentiality of client information and firm business

  • Exhibits conscientiousness, dedication, self-discipline and a sense of responsibility

  • Must have a professional, cooperative, positive and flexible attitude

  • Ability to work with diverse personalities within various levels of the organization

  • Must exhibit well-developed interpersonal skills

  • Must be able to effectively multi-task, meet deadlines and excel in a team atmosphere

  • Military experience a plus
