Part Time Special Events Assistant
JOB SUMMARY: The Special Events Assistant is responsible for day-of event supervision by working with the Facility & Events Coordinator to maintain the integrity of the facility and ensure an outstanding experience for our special event clients and their guests.
DUTIES AND RESPONSIBILITIES
Responsibility
Supervises various special events at the UCHealth Training Center by:
- Facilitating the operational various execution of 5-10 large scale external events that are extremely detailed with large attendance
- Facilitating the operational execution of 30-50 internal sponsorship events to support departments of community development, sponsorship, marketing, and HR
- Facilitating the operational execution of 20-40 external client events to include corporate, social, non-profit and educational markets
- Collaborating with Facility and Event Coordinator for event-day management of all events
- Communicating with all internal departments associated with event responsibilities and preparing the building for events including: setups, briefing security and communication of updated needs/changes for events.
- Fostering meaningful relationships with external clients to continue repeat business for future bookings
- Interacting effectively with guests and clients, food and beverage providers, vendors and other UCHealth Training Center and Stadium departments in order to monitor guest satisfaction
- Conducting systematic pre-event inspections to ensure set up requirements are completed and a positive, first-class presentation of the facility
- Responding timely to customer needs and researching and resolving problem
Qualifications and Requirements
- Bachelor’s degree or working towards degree in sports management, event management, hospitality or related field or a combination of education and job-related experience
- Maintain a flexible work schedule, including weekends, evenings, and early mornings
- Ability to identify and resolve problems in a timely manner and work well in group problem solving situations
- Ability to supervise high profile events with specific details
- Works well in group settings for goal setting and development of operational processes for successful event management
- Flexible in supervising all types of special events to support the busy event calendar, including: internal, external & sponsorship/marketing and other events based on calendar that is booked months in advance or booking within a short notice.
