The Project Coordinator will be responsible for coordinating stadium project activities. This position will support the Project Manager for stadium upgrades/improvements to continuously improve the stadium experience and extend the life of the stadium.
DUTIES AND RESPONSIBILITIES
Provides project support and oversight by:
- Supporting Project Manager in all aspects of stadium projects
- Overseeing projects as assigned by Project Manager
- Performing pre- & post project walkthroughs and punch lists for development of contractor proposals and verification of the project completion
- Creating the operational plan as part of the project process and completion by coordinating development of operational procedures for events, recommending new preventative maintenance requirements and establishing new attic stock.
- Developing RFP’s for purchases/projects as needed.
- Receiving, tracking and responding to contractor RFIs or other means to ensure project work is effectively coordinated.
- Drafting Construction Contracts
- Compiling and reviewing all project related payment applications and invoices for budget tracking.
- Scheduling project contractors/vendors based on stadium ongoing events & operations
- Assisting Project Manager in the development and management of stadium approved vendor list and building specifications for use in future work,
- Compiling project bid summaries for major stadium projects to include quotes and relevant details for review and award by department management (as requested).
- Providing project status updates and communication to department management and stadium stakeholders
- Maintaining a stadium project calendar that notes all stadium projects and their timelines and reserving spaces utilizing EMS for project and maintenance work as needed.
- Recommending timeframes for approved and or planned project work completion based on event restrictions and/or contractor schedules and historical information.
- Compiling closeout documentation including but not limited to financial reconciliation, compiling as-built documentation, O&M manuals, and project specifications
- Coordinating to updates to stadium CAD files as needed.
Supports development of annual budget by:
- Providing support to and Project Manager in the review and planning of proposed capital projects with focus of next 5 years
- Establishing cash flow projections for each project
- Compiling project estimates based on historical information and/or coordination with vendors for consideration of proposed project costs prior to formal proposals
- Providing support to Project Manager in the development and implementation of phased replacement programs
Maintains department administration and record keeping by:
- Maintaining field reports and consultant documentation related to projects and recommending actions as needed
- Working in conjunction with Project Manager to insure an organized electronic and hard copy storage system for all projects, quotes, invoices, certificates of insurance, warranties and any other applicable documentation is maintained.
Contributes to department team effort by:
- Assisting Project Manager in the oversight of contracted work to include nights and weekends as necessary
- Working flexible/long hours as may be necessary to accommodate work requirements, event schedules and respond to emergencies if necessary
- Performing other duties as assigned.
QUALIFICATIONS AND REQUIREMENTS
Education / Experience
- Ideal candidate is a graduate of a 2 – 4 year accredited college or university.
- A minimum of two years’ experience in facility operations is preferred.
- Two years’ experience in commercial project administration or project management is required.
- Experience with database processing is preferred.
- Experience with permitting, understanding of commercial building codes, and ability to read and interpret drawings is preferred.
General Proficiencies
- Understands and adheres to SMC Employee policies and procedures.
- Willing to work extended and/or irregular hours including weekends and holidays as assigned.
- Proficient with the use of computers and computer software applications including Word processing and advanced knowledge of spreadsheet software. Other applicable department software is a plus.
- Excellent work ethic, professionalism, strong interpersonal and customer service skills.
- Works well in a team setting. Ability to adapt to department needs and supports all department and organizational goals.
- Self-motivated with excellent organization, prioritization and planning / budgeting abilities.
- Above average oral and written communication skills with ability to maintain strong documentation.
Skills and Abilities
- Ability to comprehend and communicate efficiently and with other employees.
- Ability to read and draft AIA contracts.
- Ability to read and comprehend instructions, short correspondence, and memos. Verbal and written ability to provide correspondence and status or maintenance tasks.
- Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Read, write and communicate English.
