The mission of the American Osteopathic Association is to advance the distinctive philosophy and practice of Osteopathic Medicine.

I. JOB SUMMARY 


Supervises the editorial production of the JAOA. Also manages the business of the JAOA, including budgets, subscriptions, circulation, production and advertising. Serves as the primary liaison for the JAOA with the Editor-in-Chief (EIC) and Associate Editors. Assists the EIC in the work of the Editorial Board and Peer Reviewers. Recommends enhancements and policy changes to ensure the JAOA is aligned with evolving standards of scientific journals, and implements changes as directed by JAOA leadership. Ensures the quality of the JAOA by enforcing the use of style guides and writing standards. Oversees the manuscript-tracking and peer-review processes. Edits peer-reviewed clinical manuscripts and other scientific manuscripts. Helps promote the JAOA, especially to researchers to recruit quality, high-value manuscripts.


II. ESSENTIAL FUNCTIONS 


The following description of job responsibilities and standards is intended to reflect the major responsibilities and duties of the job, but is not intended to describe minor duties or other responsibilities as may be assigned from time to time.


• Directs and supervises the operations of the editorial production of the JAOA to ensure quality of manuscripts, adherence to production schedules, and development of editorial calendars.
   o Supervises editing, writing, proofreading, layout, and production for JAOA.
   o Edits medical manuscripts on an as-needed basis to ensure schedules and page            requirements for each issue are met.


• Ensures that JAOA editing, proofreading, and writing standards are met.
   o Ensures that medical articles and section copy editing and writing standards are met on usage and style.
   o Reviews and revises editing in compliance with departmental procedures.
   o Discusses queries with physician authors as necessary to clarify sense of text that could be misinterpreted by the reader.
   o Reviews, formulates, and implements procedural changes to expedite all pre-press processes.
   o Reviews existing procedures to ascertain if there can be more efficient use of                   resources and overall cost-effectiveness, and formulates appropriate                                 changes. Implements identified changes in procedure.


• Assists EIC, including oversight of Editorial Board, and Peer Reviewers.
   o Communicates regularly with each audience. Keeps each audience updated on the     work of the JAOA and schedules meetings with each audience as necessary.
   o Provides written reports to the AOA on behalf of the Editor in Chief; ensures that all JAOA leadership provides a consistent message regarding the goals and initiatives of the JAOA.
   o Oversees the peer reviewer tracking system, Scholar One. Provides editorial pre-acceptance reviews of nearly all manuscripts to assist the EIC and Oversight Editors in making decisions regarding the acceptance or rejection of a manuscript and to help improve the overall quality of the content in the JAOA.
   o Takes charge of initiatives from JAOA leadership to ensure that proposed projects are researched and implemented, if appropriate.


• Promotes JAOA
   o Coordinates promotion of articles with media relations team.
   o Schedules meetings and fosters relationships with researchers at osteopathic medical schools and beyond.
   o Seeks opportunities to increase the reach of the JAOA through subscriptions, media outreach, social media, e-alerts, etc.
   o Serves as in-house expert on research publication and manuscript submission, review, and editing.
   o Attends OMED (AOA annual conference) and actively engages with researches, research directors, and other key members of the profession.
   o Attends and participates in osteopathic or other industry conferences (eg, Council of Science Editors, Society for Scholarly Publishing, Peer Review Congress) when budget allows.


• Management
   o Supervises all staff work related to the JAOA.
   o Provides recommendations on professional development for each staff member.
   o Regularly provides feedback on performance through routine meetings.
   o Investigates and secures contracts with outside vendors to aid in the production of the JAOA; holds vendors accountable when needed.
   o Schedules and manages independent contractors and/or freelancers, as needed.


• Budget
   o Oversees JAOA budget, including planning, tracking, and approval of revenue and expenses.
   o Investigates and proposes opportunities for increased revenue and decreased expenses.


III. MINIMUM QUALIFICATION OR EXPERIENCE


• Bachelor’s degree in English, Journalism, or related field
• 7-10 years of medical editing experience with three years of supervisory experience in managing editorial production functions
• Excellent project and time management skills, deadline-oriented
• Strong written, interpersonal and oral/presentation skills
• Experience working with senior executives and board/volunteer leaders and committees


IV. SPECIAL SKILLS/EQUIPMENT


• Expert knowledge of AMA Style
• Preferred familiarity with ScholarOne peer reviewer software
• Proficient in MS Office Suite, including Word, PowerPoint and Excel.


V. PHYSICAL, MENTAL DEMANDS/WORKING ENVIRONMENT


• This position requires occasional work on weekends and evenings.


• Physical demands include the ability to remain in a stationary position, the ability to operate office equipment and the ability to move supplies and equipment up to 25 pounds.
