Nature and Scope:  Responsible for providing effective oversight of intake
department function and performance to meet company census and budget goals;
determining and implementing admissions best practices; and maintaining a
highly satisfied patient experience.

 

Major Accountabilities:

  • Effective management, training, and
    clinical supervision of Intake team; clear understanding of company growth plan
    and need to drive, census through an efficient intake process and prompt
    closing of admissions

  • Structuring of department on-call
    hours to support timely response to inquiries; time management coaching

  • Establish measurable intake and
    admissions objectives in line with organizational mission and goals;
    communicate and enforce expectations, policies and procedures; implement
    quality control measures

  • Develop and implement structure and
    strategies through evaluating trends; analyzing productivity and performance
    data; reviewing customer (patient, family and provider) surveys

  • Manage the full customer service experience
    of incoming patients, family members, referring providers, and the Veritas
    Collaborative employees who are involved in the admissions process

  • Attend daily admissions huddle
    meetings in person to provide accurate and detailed status information on
    inquiries and perspective admissions for all Veritas Collaborative facilities;
    collaborate with Executive and Leadership teams to remove barriers to admission
    – financial, medical clearance, and other factors; and be proactive in gaining
    access to admission for patients

  • Accurately track census information
    for each Veritas hospital, as well as open bed status, census caps, and waiting
    list and provides daily report to Executive Team

  • Work closely with CGO to provide
    input in creating admission forecasts across hospital sites drives admissions
    in order to maximize census

  • Lead weekly intake and admissions
    meetings, clinical staffing meetings with Medical Directors, as well as attends
    and participates in other meetings as assigned, including clinical, leadership,
    case conferences, staff meetings, in-services and staff trainings

  • Work collaboratively with Sr.
    Director Professional Relations team to effectively build Provider
    relationships through effective and timely communication with referral sources
    and treatment team members.

  • Provide input to CGO and Marketing
    Director in creating drip campaign, website content; refining SF CRM system as
    needed for reporting, relationship building with referral partners, and other
    projects as needed

  • Creates, revises, and implements
    protocols around intake activities, including waitlist protocol, Veritas
    Internal Transfer protocol, Veritas Clinic Referral protocol, and others as
    required.

  • Direct involvement with patient
    intake and admission process as indicated by demand including responding to
    inquiries; communication and problem-solving with referral sources, in-house
    clinical and medical team, Patient Financial Services, and insurers; thorough
    documentation in Salesforce

  • Provide support to patients,
    families and providers throughout the intake and admission process; works
    diligently to remove barriers to access of care

  • Ensure compliance to internal Care
    Collaboration Protocol throughout the intake process

  • Provide excellent customer service
    and cultivates culture of highest quality relations with referral sources,
    including participating in relationship building on and off site with referral
    partners as requested.

Education:    



Required: Bachelor’s Degree or equivalent combination of experience and
education

 

Preferred: Master’s
Degree or equivalent combination of experience and education
 



Experience: 

  • Minimum of 5 years healthcare
    experience

  • Minimum of 5 years management or
    supervision experience required

  • Understanding of Eating Disorders, preferred
  • Understanding of Dialectical Behavior Therapy (DBT), and/or Family Based Therapy FBT),
    preferred
